Office and Systems (Data) Support Administrator

We are currently seeking a detail-oriented and organized professional to join our team as a Systems Administrator. This role focuses on managing payables and receivables processes and includes responsibility for maintaining the Restaurant 365 software for these functions, along with inventory items.
Responsibilities:
- Payables/Receivables:
- Process and record accounts payable and receivable transactions accurately and in a timely manner.
- Reconcile vendor statements, resolve discrepancies, and ensure timely payment of invoices.
- Generate invoices and statements for customers, monitor outstanding balances, and follow up on overdue payments.
- Work closely with internal teams to address billing and payment inquiries.
- Restaurant 365 Software Management:
- Administer and maintain the Restaurant 365 software for payables, receivables, and inventory management.
- Ensure accurate and up-to-date data entry into the software system.
- Collaborate with the Director of Operations at Voltage Coffee Project to troubleshoot and resolve any issues related to the Restaurant 365 software.
- Train team members on the use of the software and provide ongoing support.
- Integration and Automation:
- Develop program to streamline and automate payables and receivables processes within the Restaurant 365 software, enhancing efficiency and accuracy.
- Identify opportunities for process improvements and collaborate with cross-functional teams to implement changes.
- Compliance:
- Stay current with regulations related to payables and receivables processes.
- Ensure compliance with all relevant financial and data protection regulations.
- Assist in the preparation for external audits related to payables, receivables, and inventory.
- Reporting:
- Generate and distribute financial reports related to payables, receivables, and inventory to support decision-making processes.
- Develop and implement customized reports as needed by different departments.
Office Administration:
- Office Organization
- Maintaining meeting records and development of plans for actionable items
- Coordination of department communications and plans
- Consistent follow-up of required action items to ensure completion
Qualifications:
- High school diploma or equivalent; additional education or certification in accounting or related field is a plus.
- Proven experience in payables and receivables processing.
- 2+ year experience with Restaurant 365 software for financial and inventory management (or similar program).
- Proficiency in data analysis and the ability to extract insights from financial data.
- Excellent communication skills and the ability to collaborate with cross-functional teams.
- Strong attention to detail and organizational skills.
